Setting Up Events on Virtual United

Follow these instructions to set up your first event and access the resources we've created.

1. Set up your event(s)

Create an account and login at app.virtualunited.events to set up your events.

  • The event image will display in the upper left corner of the page in a round frame. We recommend using a square image, roughly 500x500 pixels.

  • The Presentation URL is a video that displays to your attendees when they first enter. Templates and example videos are linked in Set Up Organizer Video.

  • The card information on the account setup screen is not active. You will not be charged any additional fees. If you’d like, you can enter in ‘424242….’ and the site will accept the dummy information. This will be updated February 21st.

Utilize live support and our team’s resources

  • If you would like to open your event to the public contact our team and we can list it alongside event announcements.

  • Live support will be standing by via phone, live chat and in-event video call to ensure attendees have a good experience joining the event.

  • Note your event on this calendar so that we can ensure live support is available at your event. If the time you are planning is not available email us the time and we will be there guaranteed.


At the end of this step, you will have your Event URL where your event will take place. This is ultimately the only thing you need to run the event. The below steps help to ensure a fantastic experience for first time users.


2. Announce your event

To help make users excited to try Virtual United for the first time we have included materials to guide the announcement of the event.


Use this copy and information however you'd like. If you'd like to skip ahead to how to tell attendees how to join at start time, skip to step 3.


Short Description:

Virtual United is an event platform that brings the spontaneous and free flowing part of meeting people to the virtual world. Virtual United works by giving you the ability to move around between small group conversations. See everyone in the event and form your conversations intentionally, no restrictive Zoom breakouts! Up to you to spend your time talking with friends, engaging with new connections or both!

Designed to be easy to use, live support is also standing by to ensure you have success joining the event.


Stand-alone event:

This event brings back the way you interact at in person networking events through small group virtual conversations. You can view everyone's profile and see the conversations happening throughout the event. Choose to 'walk over' and join a conversation, or ask someone to start a new conversation.

You'll enjoy the liberating ability to choose your conversations and move around the room in the same way you would at a live cocktail party or social hour.


Complimentary event:

Virtual United is an open space for you to interact freely with others and get to know the community [[before/after]] joining us for our featured presentation at [[ex 5PM on Zoom]].

Similar to how we would talk with each other in person [[before getting started/after wrapping up]] this room will be open to mingle and interact with others at the event.


3. Deliver joining information for best experience

Utilizing a new video platform can be difficult and intimidating for some users. In addition to our work as live support, clearly communicating the steps is important.


By utilizing your event URL alongside this information in all settings where event information is posted we have had 100% success when joining (when on Google Chrome on a Laptop/Desktop without a whitelist-only firewall).

Make sure to share joining instructions with your attendees:

  1. Use a computer

  2. Close Zoom Google Meets Microsoft Teams and other video apps

  3. Open Chrome

  4. Go to Event URL

  5. Contact Live Support with issues

*Why do we have these instructions? VU is not supported on Mobile. On Windows 10 the camera configuration does not support perfectly multiple streams, and other video apps will 'steal' the video if not closed. Internet Explorer, Safari, and Edge have intricacies that sometimes cause issues, we tell users to use Google Chrome for consistency and guaranteed success. Firefox is also supported.

We recommend adding our video walkthrough to this content to give attendees a chance to see the features and get a feel for it before the event. This is linked here. Additionally, you can shoot an introduction and amend it to the beginning of one of these videos, for an example see here.


If this is a complimentary event to a Zoom or livestream, we recommend putting joining instructions for both links in each email chain. For example at the top of the announcement list:

"The first half of this event will go from 3-4 on Virtual United. At 4 we will transition over to Zoom until the event ends at 5. Instructions on how to join both Virtual United and Zoom are listed below, and will also be provided in the chat when it is time to switch."

This gives attendees a centralized resource for joining your event.
